Billing Specialist - Legal

 Responsibilities of the Billing Specialist:

  • Assist with the application of Alternative Billing Arrangements and annual review and approval
  • Maintain expertise of Electronic Billing vendors; upload/monitor invoice submission
  • Issue draft bills that meet attorney/client requirements for review
  • Review time/expense charges to ensure correct grammar, spelling and conformity to Client Billing Guidelines
  • Incorporate edits made by billing attorney(s) and prepare bills in final form Guidelines
  • Prepare ad hoc reports for billing attorneys and clients as requested
  • Ensure timely billing and collections
  • Continuously monitor client pipeline (unbilled amounts and accounts receivable); enter relevant comments in Pipeline Control System

 Requirements of the Billing Specialist:

  • Four-year college degree preferred
  • Minimum of three years experience in Legal or Professional Services Billing
  • Elite Legal Billing, Carpe Diem and Oracle systems a plus, Advanced Excel
  • Excellent organizational, proofreading, effective written and verbal communication skills with the flexibility to work some overtime

Dynamic Cleveland based Firm has an immediate direct hire opportunity for a Intellectual Property Docket & Records Clerk.  Basic understanding of intellectual property terminology and procedures related to both U.S. and foreign prosecution. A minimum of 1-3 years of prior IP legal experience and a College degree and or paralegal certificate preferred. 

 IP Docket Responsibilities

  • Maintains firm’s intellectual property docket database
  • Processes and dockets all incoming mail, faxes and e-mails.
  • Updates attorney docket reports. Prepares reports as requested.
  • Acts as auditor for functions such as for file transfers, returns, abandons and destroys.
  • Maintains Docket procedure manual.

 IP Records Responsibilities

  • Processes file transfers and return files according to firm procedures.
  • Maintains Records procedure manual
  • Maintains files in storage facility both physically and electronically.
  • Maintains and catalogs retained documents list of files that have been returned or destroyed.
  • Implements and adheres to Firms Document Retention policy for IP Department by ensuring files are properly coded in Elite and with the offsite storage facility.

 Skills and Work Experience

 Proficient knowledge of software including but not limited to: Outlook, Excel and Word, familiarity with CPA Inprotech, Elite, Imanage/Worksite, and Innovate is desirable.

  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Interpersonal skills necessary in order to communicate and follow instructions effectively in a diverse group of attorneys and staff and provide information with courtesy and tact.

Billing Associate - Legal

Dynamic Cleveland based Firm’s Billing Department is seeking to hire a legal billing assistant with three-five years of billing experience.   The individual will be heavily involved in the billing process from beginning to end, is responsible for some month-end procedures, will be cross-trained in other areas of the department and will act as a back-up to those areas.  This is a non-exempt position and the individual is eligible for overtime pay and offers an exceptional benefit package.

Responsibilities of the Billing Assistant:

  • Processes client invoices on a daily basis; meet with various attorneys to determine client billing.
  • Issue draft bills that meet requirements for review.
  • Incorporate billing edits made and prepare bills in final form.
  • Review WIP adjustments and compliance to Firm policy; monitor attorney compliance with billing process.
    • Process electronic billing with outside vendors; and coordinate with outside vendors on electronic billing setup for clients.
    • Prepares spreadsheets and summary sheets for attorneys/clients.
    • Acts as a backup to all members of the Accounting Department, which may include, but is not limited to:  A/R, A/P and conflict check functions.

 Requirements of the Billing Assistant:

  • Three-five years of on the job billing experience. Legal experience preferred, will consider CPA office billing experience.
  • Advanced Excel and billing software, preferable Elite; proficiency with Word, 10-Key by touch, Outlook, Excel, and Photocopiers.  Ability to type brief memos, letters and forms.
  • Proficiency in electronic billing.
  • Excellent organizational, proofreading, effective written and verbal communication skills with the flexibility to work some overtime.

Billing Coordinator- Electronic Billing

Dynamic Cleveland based Firm has a newly created position for an Electronic Billing Coordinator and seeks an e-billling expert with a minimum of five (5)+ years Coordinating Electronic Billing within a Law Firm or Professional Services environment.  The Coordinator of Electronic Billing is responsible for the e-billing process, including on-boarding new client/matters,  monitor submissions, rejections and appeals.  Serves as the liaison and ensures compliance with client, e-billing vendor requirements, billing staff and related departments. Coordinate and act as a resource for the billing staff nationwide.  Four year degree preferred, experience with billing software (Elite preferred) and the technical components of e-Billing and related financial databases, e-Billing Hub platform, and exchange of electronic data (LEDES) billing files.
